Schedule management is a system for collaborating with team members to review and publish posts. Three views (Calendar, Kanban, List) let you efficiently track schedule status.

Schedule Status Lifecycle

Schedules pass through these 7 statuses from creation to completion:

Team Approval Workflow

The team approval workflow is a system where authors and reviewers collaborate to manage schedule quality.

Approval Process

Author (You)ReviewerApprove/RejectPublish

  1. Author: Create schedule and click “Request Review”
  2. Reviewer: Review schedule and approve or reject
    • Approve: Schedule changes to scheduled status
    • Reject: Request revisions from author (author can resubmit for review)
  3. Publish: Approved schedules automatically publish at scheduled time

Settings: Workspace administrators can enable/disable approval workflows in Settings.

Revising Rejected Schedules

Revise rejected schedules this way:

  1. Click “Rejected” lane in Kanban view
  2. Click schedule for detailed view
  3. Check reviewer comments and make revisions
  4. Click “Request Review” again

Team Collaboration Features

Features available when managing schedule items with team members:

  • Comments: Leave comments with team members
  • Approval Workflow: Reviewers approve or reject (depends on workspace settings)
  • Content Editing: Edit posts from other team members if you have permissions
  • AI Analysis: Get improvement suggestions using AI features

Settings: Click a schedule to open the detail panel, where you can use comments, edit content, AI analysis, and more.


Three Views for Schedule Management

Firstage offers three views to maximize scheduling efficiency.

Calendar View - Time-Based Management

When to use:

  • View monthly/weekly/daily publishing schedule at a glance
  • Quickly change publishing dates with drag-and-drop
  • See campaign-grouped schedules at a glance

Key features:

  • 3 view modes: Switch between monthly, weekly, daily
  • Drag-and-drop: Drag schedule dates to change schedule
  • Campaign colors: Schedules grouped by campaign with color coding
  • Real-time updates: Team member changes reflected instantly

Tip: Check specific date ranges in monthly view, then switch to daily view to manage detailed schedules.

Kanban View - Status-Based Board

When to use:

  • Visualize schedule approval status
  • Manage schedules under team review
  • Quickly find schedules awaiting publication

Key features:

  • 7 lanes:
    1. Draft - Schedules in progress or saved only
    2. Reviewing - Schedules awaiting review
    3. Approval Process - Approved/Rejected sub-lanes
    4. Scheduled - Waiting to publish on social media
    5. Completed Status - Completed/Archived sub-lanes
    6. Cancelled - Cancelled schedules
    7. Failed - Failed publishing schedules
  • Drag-and-drop status changes: Drag schedules between lanes to change status instantly
  • Real-time collaboration: Team member changes reflected in real-time

Caution: You cannot drag schedules you don’t have permissions for.

List View - Detailed Table View

When to use:

  • View schedule title, author, publishing date in table format
  • Quickly search for specific authors or schedules
  • Scan organized schedules quickly

Key features:

  • Column sorting: Sort by publishing date, title, author, status, etc.
  • Search and filtering: Search and filter by title, author, keywords
  • Infinite scroll: Quickly view many schedules at once
  • Search: Search by schedule title or content

Publishing

There are 2 ways to publish schedules:

1. Scheduled Publishing (Automatic)

If you set a scheduled publishing time when creating posts, it publishes automatically at that time.

Scheduled publishing process:

  1. 5 minutes before scheduled time: System automatically prepares
  2. At scheduled time: Immediately sent to social media API
  3. Publishing complete: Status changes to “Scheduled”
  4. Integration Post created: View results in Published Posts

Tip: Scheduled publishing runs based on your workspace timezone. Set your timezone accurately in Settings.

2. Manual Publishing (Direct)

If you didn’t set a scheduled time or want to publish manually:

Step 1: Find Schedule in Schedule Management View

Find your schedule to publish in Calendar, Kanban, or List view.

Step 2: Open Schedule Detail Panel

Click the schedule to open the detail panel.

Step 3: Click “Publish” Button

Click the “Publish” button at the top right to publish immediately.

Done!: Your schedule has been published to social media. Check results in Published Posts.


Frequently Asked Questions

Q: What happens when I drag and drop to change schedule date in Calendar view?

A: You can change the publishing date of scheduled schedules with drag-and-drop. You cannot drag schedules without permissions.


Q: How do I handle all rejected schedules in “Rejected” lane?

A: Click a schedule to check rejection reasons. After checking team member comments, edit and resubmit for review. You can change status without editing, but that may reduce publishing quality. We recommend editing before resubmitting for review.


Q: Can I disable the approval workflow?

A: Yes. Workspace administrators can enable/disable the approval workflow in Settings > Workflows. When disabled, schedules change to scheduled status without review.


Q: Can I change the time for a scheduled schedule?

A: Yes. Click a schedule to open the detail panel and edit the scheduled publishing time in the right metadata section.


Q: Are team member edits shown in real-time?

A: Yes. With WebSocket real-time communication, team member edits are reflected instantly. You can view the latest status without refreshing.
